Pilot Pathway is a two-sided aviation recruitment platform operating in South Africa. This policy explains what personal information we collect, how we use it, and the control you have over who sees it.

1Information we collect

Pilots: name, contact details, nationality, location, licences, ratings, flight hours, aircraft experience, medical status, training records, and documents you choose to upload.

Airlines / Recruiters: company name, country, fleet, base locations, recruitment contact number and email, and an Airline ID code used to link colleagues from the same company.

Account data: email address and authentication details needed to sign in.

2How your information is used

  • To build and display your professional profile within the pilot pool.
  • To allow airlines to filter and discover pilots whose qualifications match their requirements.
  • To facilitate interview scheduling and in-app messaging between pilots and airlines.
  • To verify airline organisations before granting full access to the pool.

3What is never collected or stored

It is strictly prohibited to upload or store sensitive information on Pilot Pathway. This includes banking or payment details, identity numbers, passport numbers, and any other information defined as sensitive under POPIA. Do not place these details in your profile, documents, bio, or messages.

4Sharing with airlines

Your professional qualifications and experience are shown to airlines so they can filter the pool. Your name and contact number are only shared with an airline when you give permission. You control these visibility settings at any time from your profile:

  • Public — name and contact visible to vetted airlines.
  • Recruiters only — visible to vetted airlines, hidden from the public.
  • Private — hidden from everyone; you are not discoverable.

You can change these permissions at any time. Withdrawing permission hides the relevant details from airlines going forward.

5Data retention

We keep your information for as long as your account is active. You may request deletion of your account and personal information at any time, and we will remove it within a reasonable period.

6Security

We use reasonable technical and organisational measures to protect your information. However, no system is perfectly secure, and you share information at your own risk.

POPIA

Processing of Personal Information

Pilot Pathway complies with the Protection of Personal Information Act, 2013 (POPIA) of South Africa. This section explains how we process personal information.

1The responsible party

Pilot Pathway, operated on the Base44 platform, is the responsible party for the personal information you provide through the service.

2What we process

Pilots: name, contact number and email, location, nationality, and professional aviation data (licences, hours, ratings, medical, training).

Airlines: company details and a recruitment contact number and email.

3Purpose of processing

We process your information solely to operate the pilot pool — to let airlines discover and contact eligible pilots, and to let pilots manage their visibility and permissions.

4Sensitive information — strictly prohibited

POPIA defines special categories of personal information (including banking and financial details, identity numbers, and similar identifiers) that require extra protection. Pilot Pathway does not process these categories and it is strictly prohibited to upload them. We will never ask for your banking details or ID number.

5Sharing with airlines

Your name and contact number may be shared with an applicable airline, but only when you have set your visibility permissions to allow it. You retain control of these permissions and can change them or withdraw consent at any time. Your professional experience is shared for discovery purposes; your direct contact details are shared only on your terms.

6Your rights

  • Object to the processing of your information.

7Retention

We retain personal information only for as long as your account is active or as required by law. On request, we will delete your information within a reasonable timeframe.

We apply reasonable measures to secure personal information against loss, unauthorised access, or disclosure.

If you believe your privacy rights have been infringed, you may contact us, or lodge a complaint with the Information Regulator of South Africa.
